Privacy Policy
How we collect, use, share, and protect personal information across the CheckInIQ platform and website.

1. Who we are
CheckInIQ (“CheckInIQ,” “we,” “us,” or “our”) is a visitor check-in and management platform operated by SoHo Integration, LLC. This Privacy Policy explains how we handle personal information when you visit our website at checkiniq.com, create or manage an account, or use the CheckInIQ application.

2. Two roles: controller and processor
CheckInIQ is used by organizations such as workforce development centers, community organizations, employers, and other facilities (each an “Organization”) to track who comes through their doors. Because of this, we handle personal information in two different roles:
- As a controller — for information about our website visitors and the account holders and staff who sign in to administer CheckInIQ. We decide how and why this information is used, and this policy governs it directly.
- As a processor (service provider) — for the visitor check-in records that an Organization collects and enters into CheckInIQ (for example, the people who check in at that Organization’s front desk or kiosk). The Organization is the controller of that data and decides what is collected and why. We process it only to provide the service on the Organization’s behalf and under our agreement with them.
3. Information we collect
Account and billing information
When an Organization signs up or an administrator manages an account, we collect contact and business details such as name, email address, phone number, business name, and address. Subscription and payment processing is handled by our payment processor, Stripe. We receive limited billing details (such as plan, subscription status, and the last four digits or card brand needed to display your billing record), but we do not collect or store full payment card numbers — those are handled directly by Stripe.
Visitor check-in records (processed for Organizations)
On behalf of each Organization, the platform stores the visitor information that Organization chooses to collect. Depending on the Organization’s configuration, this can include names, dates of birth, a check-in PIN, email address, visit history, and custom fields the Organization defines. Some Organizations choose to collect sensitive categories of information (for example, veteran or ex-offender status, or employment status) as part of their own programs. The Organization determines what is collected and is responsible for having a lawful basis and any required notices or consent for that collection.
Usage and device information
When you use our website or application, we automatically collect technical information such as IP address, browser type, device information, pages viewed, and actions taken, through cookies and similar technologies and through our analytics provider.
Support communications
When you contact support or submit an issue through the app, we collect the contents of your message along with context such as your user, Organization, and role to help us respond.
4. How we use information
- To provide, operate, secure, and maintain the CheckInIQ platform and website.
- To create and administer accounts, authenticate users, and enforce access controls.
- To process subscriptions, billing, and trials.
- To respond to support requests and communicate service-related messages.
- To monitor, troubleshoot, and improve the product, including through aggregated usage analytics.
- To detect, prevent, and address security incidents, fraud, and abuse.
- To comply with legal obligations and enforce our agreements.
5. Cookies and analytics
We use cookies and similar technologies for two main purposes:
- Strictly necessary cookies — for example, the authentication and session cookies that keep you signed in and keep the application secure. These are required for the service to function.
- Analytics — we use PostHog to understand how the website and product are used so we can improve them. You can control cookies through your browser settings; disabling necessary cookies may prevent you from signing in.
6. How we share information
We do not sell personal information. We share it only as needed to run the service:
- With the relevant Organization — visitor and usage data is made available to the Organization that operates the CheckInIQ account.
- With service providers (subprocessors) — vendors who help us deliver the service under contract, listed below.
- For legal reasons — when required by law, regulation, legal process, or to protect the rights, property, or safety of CheckInIQ, our customers, or others.
- In a business transfer — in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.

7. Data retention
We retain account information for as long as an account is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. Visitor check-in records are retained according to each Organization’s instructions and configuration; the Organization controls retention and deletion of its data. When an account is terminated, we delete or de-identify the associated data within a reasonable period, except where retention is required by law.
8. Security
We use technical and organizational safeguards designed to protect personal information, including encryption of data in transit, role-based access controls, per-Organization database isolation, and optional network access controls (IP allowlisting) that administrators can enable. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information, or to object to certain processing. For information CheckInIQ controls (account and website data), contact us at support@checkiniq.com. For visitor check-in records held on behalf of an Organization, contact that Organization directly; we will assist them as the processor. We will not discriminate against you for exercising these rights.
10. Children’s privacy
CheckInIQ is a business tool that is not directed to children, and we do not knowingly collect personal information from children through our website or account sign-up. Where an Organization uses CheckInIQ to record visitors who may be minors, that Organization is responsible for obtaining any required parental or guardian consent.
11. International users
CheckInIQ is operated from the United States, and information we process is stored and handled in the United States. If you access the service from outside the United States, you understand that your information may be transferred to and processed in the United States.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will revise the effective date above and, where appropriate, provide additional notice. Your continued use of the service after an update means you accept the revised policy.
